1. How much info do I need to provide when making a request?
The most pertinent information would be the claimant/patients name, date of birth, social security number as well as the name address and telephone number of the location from which you are trying to obtain records.
2. How long does it take to get the records I have requested?
It takes approximately thirty days to process a request provided that a location is cooperating. Often there are instances when the records need to be retrieved from archives and additional time is needed. RRS will make you aware of all delays.
3. How are my records delivered?
To ensure receipt of the records they are either hand delivered by a RRS representative or will be sent via USPS signature required.
4. How long after RRS receives my records will I receive my records?
RRS will deliver your records on the next scheduled day of delivery
5. Can I get extra copies?
Yes additional copied are available upon request.
6. Can I get electronic copies?
Electronic copies are available upon request in any format you choose.
7. Can I have additional copies sent to other counsel or adjusters?
Absolutely, at the time of your request just let us know who you want to send records too and we will mail or deliver the files to their office.
8. How do I know my records are safe while in the possession of RRS?
RRS complies with all HIPPA requirements, your records are also kept in a secure area with limited access to our staff.
9. Who pays for the records from the requested facilities?
RRS will front any payment with approval up to $100, larger amounts require a prepayment unless other arrangements with your firm have been made.
10. How can I get status of my request for records?
You may go online to (Link to status page), or email your request to your RRS account manager, or call us at 610-891-8247
11. How long will you continue to try to get my records?
RRS will continue attempts at retrieving your records for 90 days. At which time you may decide to close the request or reopen it.
12. What do you do to retrieve my records from facilities?
RRS will call prior to sending the request, to confirm the request, and follow up on status of the request. Additionally we will fax and email the facility until results are achieved.
13. How long are my records stored?
Electronic records will be stored for 90 days after the files is closed. Additional storage is available upon request
14. What kind of files can be requested?
You can request any type of records allowable by law
15. Can I get additional copies of X-rays or photos?
Yes. At the time of your request just let us know how many copies you would like
